CrewTab holds crew pay records for small BC contractors. This page says what we keep, why, who sees it, where it lives, how long, and how to have it removed. Plain words, no surprises.

What we never store
No social insurance numbers. No bank account numbers. No health details. Your accountant and your bank hold those; CrewTab does not ask for them and has nowhere to put them.
What we keep and why
| What | Why | Who sees it |
|---|---|---|
| Your login: name, email, password (stored hashed), your mobile | To sign you in and text you the morning brief, advance requests and papers alerts | You. CrewTab support when you ask for help |
| Your business: name, phone, timezone, pay settings | To run pay periods, texts and the dispatch hour on your clock | You. The crew sees the business name on their texts and page |
| Each worker: name, mobile, email, employee or sub, start date, GST number, WorkSafeBC clearance date, who to call in an emergency | To text them jobs and pay, work out their statement the BC way, and reach someone if something happens on site | The owner. The worker sees their own card |
| Days and pay: what each worker logged, rates, approvals, statements, advances, deductions, flags and answers | To work out what you owe and keep the record BC employment law and CRA require | The owner. Each worker sees only their own days and statements, through a link texted to them |
| Papers: the files a worker uploads (tickets, licences, WorkSafeBC letters) and their expiry dates | To warn you before a paper runs out | The owner and that worker |
| Photos: job and site photos with the time, and the location when the phone allows it | Proof of work and damage, for you and for a general contractor you choose to send a link to | The owner, the worker who took it, and anyone you send a proof link to |
| Texts: the number sent to, the kind of text, and whether the carrier delivered it | So you can see whether a text landed, and so STOP replies are honoured | The owner |
| Activity: who did what in the app, and when | A record you can check, and the audit trail payroll disputes need | The owner |
We collect it because you type it in, your crew types it in, or the carrier reports it back. We do not buy data about you, and we do not sell or rent yours.
Who else touches it
Four companies run the pieces CrewTab is built on. Each one sees only what its job needs:
- Supabase runs the database and file storage, in Canada (AWS ca-central-1, Montreal).
- Telnyx sends the texts. It sees the number and the words of each text.
- Resend sends the emails (sign-in links, alerts). It sees the address and the email.
- Vercel hosts the app. Requests pass through its servers, some outside Canada.
CrewTab is made by Aakar Tech Limited in Abbotsford, BC. We look at an account only to fix a problem you reported or when the law requires it.
Where it is stored and backed up
The database and every uploaded file live in Supabase's Canadian region (AWS ca-central-1, Montreal). Supabase takes a daily backup of the database, kept for seven days, in the same region. Files are stored once, with the SHA-256 of each file recorded so you can prove a paper or photo was not changed.
How long we keep it
- Pay records (days, rates, statements, advances, deductions) are kept as long as the law says an employer must keep them: four years under BC's Employment Standards Act, and six years after the tax year under the Income Tax Act. We keep them for six years from the pay period.
- Papers and photos are kept while the worker is on the crew and for one year after they are removed, unless they are part of a pay record above.
- Texts and the activity log are kept for two years.
- A closed account is deleted after 90 days, except the pay records above, which we keep for the period the law requires and then delete.
Your rights, and your crew's
Under BC's Personal Information Protection Act you can ask what we hold about you, ask us to correct it, and ask us to delete it. A worker can ask the same about their own record; the owner is the one who answers for pay records, because the law makes the employer keep them.
Email harman@aakartech.ca. We answer within 30 days, and we say plainly what was removed and what the law makes us keep.
